What is Procare software?

How do I log into Procare?
You can log into Procare by opening the program on your computer and entering your username and password. If you are unsure of your login information, you can reset your password through the Forgot Password option.
Why am I receiving an Invalid Login error message?
An Invalid Login error message means that the username or password you entered is incorrect. Please try again, and if you continue to receive the error, reset your password using the Forgot Password option.
How do I add a new child to the system?
To add a new child, go to the Families section and click on Add New. Then, fill in the required information for the new child and save the changes.
Why cant I save changes made to a childs record?
This could be due to a system error. Try exiting and logging back into Procare, or contact customer support for further assistance.
Can I print reports from Procare?
Yes, you can print a variety of reports from Procare by going to the Reports section and selecting the report you need.
How do I update a childs billing information?
To update a childs billing information, go to the Families section and click on the childs name. Then, go to Billing and update the necessary information.
I accidentally deleted a childs record. Can I retrieve it?
Yes, you can restore deleted records within 30 days by going to Families and clicking on Deleted Records.
What is the difference between an authorized pickup and a drop-off person in Procare?
An authorized pickup is someone who has permission to pick up a child from the center, while a drop-off person is someone who has permission to drop off a child at the center.
How do I mark a child as absent or present?
To mark a child as absent or present, go to the Classroom section and click on the childs name. Then, select Mark Absent or Mark Present.
What do I do if I encounter a system error?
If you encounter a system error, try exiting and logging back into Procare. If the error persists, contact customer support for assistance.
Can I access Procare from a mobile device?
Yes, you can access Procare through the Procare Connect app, available for iOS and Android devices.
How do I request a refund for a cancelled enrollment?
To request a refund for a cancelled enrollment, go to the childs record, click on the Enrollment tab, and select Edit. From there, you can request a refund under the Financial Details section.
How do I update my billing information for Procare?
You can update your billing information by going to the My Account section and selecting Edit Payment Information.
Why am I unable to edit a parents contact information?
This could be due to restricted access. Contact your child care administrator to request permission to edit parent contact information.
How do I print a receipt for a parents payment?
To print a receipt, go to the Families section and click on the childs name. Then, go to Billing and click on Payments. From there, you can print a receipt for the selected payment.
Can I send automated emails to parents through Procare?
Yes, you can send automated emails for late payments, upcoming due dates, and more by setting up automated billing reminders.
What do I do if a parents payment didnt go through?
If a parents payment didnt go through, first check with your payment processor to ensure there are no issues on their end. If the issue persists, you can contact customer support for further assistance.
Why am I not receiving emails from Procare?
Make sure to check your junk or spam folder, as Procare emails may end up there. You can also add Procares email address to your contacts to ensure emails are not marked as spam.
Can I customize my Procare dashboard?
Yes, you can customize your dashboard by going to the Admin section and selecting Customize Dashboard.
How do I set up automatic recurring billing for families?
To set up automatic recurring billing, go to a familys record, select Settings, and choose Auto Payments. Then, set up the recurring payment details and save the changes.
How do I delete a payment from a parents record?
To delete a payment, go to the Families section, click on the childs name, and select Billing. From there, find the payment in question and select Delete.
Can I import child and family information from another system to Procare?
Yes, you can import information from another system to Procare by using the Data Import tool. Contact customer support for assistance with the import process.
Why am I receiving a Database Connection Failed error?
This error may occur if your internet connection is unstable or if there is an issue with the Procare server. Try refreshing your browser or waiting a few minutes before trying again. If the error persists, contact customer support for further assistance.
How do I change my invoice design template?
To change your invoice template, go to the Admin section, select Invoice Designs, and choose a different template. You can also customize your own template by using the Custom Design option.
Can I send text messages to parents through Procare?
Yes, you can send text messages to parents through the Procare Connect app. However, the feature must be enabled by your child care administrator.
